Overview

The Health Information Specialist/Program Assistant (HISPA) maintains client files and is responsible for submitting the mental health billing for all clients within their assigned program, with a focus on the quality assurance of the program. The HISPA compiles, updates, and organizes all documentation for the clients within their programin collaboration with clinicians, counselors, andprogram leaders to ensure programcopliance and support payment processes. The HISPA also maintains general operation oft he program administrative office.

 

ABOUT SENECA'S ASPIRE STRTP

The Aspire STRTP (Short Term Residential Therapeutic Program) is a highly individualized residential program that provides relational, trauma-informed therapeutic support and services to foster youth with complex placement and behavioral health needs. Youth receive comprehensive and intensive mental health services in a nurturing home environment for up to 6 months from a multidisciplinary team before transitioning to a sustainable alternative placement.

Responsibilities

  • Create and maintain client records for assigned program(s) according to the Health Insurance Portability and Accountability Act (HIPAA), Community Care Licensing (CCL), and Seneca regulations.
  • Monitor and track required county health plan documentation, ensuring accurate completion.
  • Communicate with treatment team regarding corrections or necessary changes on documentation.
  • Input, complete, and review billing and payment invoices for assigned program(s) and submit reports to the Accounting Department in a timely manner.
  • Ensure appropriate and timely distribution of Incident Reports.
  • Investigate and resolve billing inaccuracies and billing related issues. Ensure timely submission of invoices to appropriate department(s).
  • Process Record Requests in compliance with HIPAA rules and Seneca policies and procedures. 
  • Prepare charts for audits and accreditation surveys.
  • Answer department phones, manage Director's calendar, maintain petty cash, and process mail for the program. 
  • Schedule, participate in, and take notes during leadership and All Staff meetings.
  • Maintain office equipment and the safety, organization, and profesional appearance of the front office and general areas. Coordinate various office services.

Qualifications

  • Education/experience requirements:
    • Bachelor's degree OR
    • Associate's degree and 1 year of applicable work experience OR
    • High school diploma and 2 years of applicable work experience.
    • Applicable work experience includes any administrative position (paid or unpaid) requiring frequent data entry, ability to prioritize multiple projects within strict deadlines, and coordination with multiple departments.
  • Ability to compile and track documents according to strict guidelines and regulations.
  • Excellent organizational, problem solving, and time management skills.
  • Demonstrated proficiency in Microsoft Word, Outlook, and Excel.
  • Ability to collaborate with diverse co-workers, partners, and community members.
  • At least 21 years of age.
  • TB test clearance, fingerprinting clearance, and any other state/federal licensing or certification requirements.
  • Valid driver's license, clean driving record, and insurability through Seneca Family of Agencies' insurance policy.
  • Proof of up-to-date COVID-19 vaccination or an HR-approved medical/religious exemption.

Schedule

  • Full-time, hybrid position
    • Monday - Friday, 9:00 AM - 5:30 PM

Benefits

  • Starting at $27.58 - $28.08 per hour
    • Actual salary dependent on creditable experience above the minimum qualifications for the role
    • Additional compensation provided upon passing a bilingual language proficiency exam
