Overview

Join our team as a Bilingual Program/Intake Assistant, where your exceptional organizational, analytical, and communication skills will play a key role in efficiently managing the administrative office and contributing to the success of our program.

 

As the Bilingual Program/Intake Assistant, your primary responsibility is the general operations of the program’s administrative office.   

 

ABOUT THE CLINICS

The three outpatient clinics provide services to youth, ages 0-20, and their families focused on strengthening self-regulation, communication and connection through various treatment modalities. Services provided in the clinic include individual, family and group therapy, case management services, medication management services, psychological testing, equine mental health therapy, Therapeutic Behavioral Services and rehabilitation services. Our team engages in a family-systems, strength-based and collaborative approach to treatment, supporting youth/families in addressing the concerns that matter to them most. Our team is provided with robust training and staff have expertise in working with those impacted by trauma, adoption, lack of permanency and high acuity behaviors.

Responsibilities

  • Answer department phones and complete intake referral forms, when needed.  
  • Receive and schedule intake calls.
  • Greet and interact with clients, families and other visitors. 
  • Maintain the safety, organization and professional appearance of the front office and general areas. 
  • Maintain office equipment and coordinate various office services. 
  • Order and organize program supplies, including keeping kitchen organized and stocked. 
  • Ensure smooth logistics for onsite meetings/trainings and visitors including conference room reservations, meal planning and logistics, both in preparation and execution.  
  • Maintain well-organized and accessible electronic and paper forms and files. 
  • Process all mail, correspondence and information to and from the program’s office, including correspondence to and from the Program Director/Manager of Operations. 
  • Manage program petty cash reimbursement and Program Director credit card expense report. 
  • Complete required program reports and scheduling. 
    • Generate reports and synthesize data pertaining to program performance, demographics, and measurable outcomes. 
  • Assist the Lead Intake Clinician with gathering and providing family and clinical team with necessary documents to conduct intake appointment.  

Qualifications

REQUIRED

  • Education/experience requirements: 
    • Bachelor's degree OR 
    • Associate degree or equivalent + 1 year of applicable work experience OR 
    • High school diploma/GED + 2 years of applicable work experience
    • Applicable work experience includes any paid or unpaid experience in an administrative capacity requiring customer service, data entry, ability to prioritize multiple projects within strict deadlines, and coordination with multiple departments. 
  • Bilingual (English and Spanish).
  • At least 21 years of age. 
  • TB test clearance, fingerprinting clearance, and any other state/federal licensing or certification requirements.  
  • Valid driver's license, clean driving record, and insurability through Seneca Family of Agencies’ insurance policy.  
  • Proof of up-to-date COVID-19 vaccination.

PREFERRED

  • Previous experience in comparable position.

SKILLS OF AN IDEAL CANDIDATE

  • Excellent organizational, writing, and oral communication skills. 
  • Proficiency with Microsoft Office suite, Zoom, and a variety of technology platforms.
  • Ability to structure and perform routine tasks. 
  • Ability to work as a team member.  
  • Capacity to engage and develop rapport with youth, families, and community partners from a wide variety of racial, ethnic, and socioeconomic background. 

Schedule

  • Full-Time
    • Monday - Friday; 8:30AM - 5:00 PM.
    • Minimal travel required (some traveling to Seneca or County trainings, Post Office, FedEx/Ups).

  • Starting at $23.34 - $25.84 per hour.
