Responsibilities

  • Maintain and organize client records in compliance with HIPAA, Community Care Licensing (CCL), and Seneca regulations
  • Track and ensure accurate completion of required county health plan documentation
  • Communicate with the treatment team to address documentation corrections or updates
  • Process and review billing and invoices using internal and external Electronic Health Record (EHR) systems, submitting reports to Accounting on time
  • Ensure timely distribution of Incident Reports and resolve billing discrepancies
  • Handle record requests in compliance with HIPAA and Seneca policies
  • Prepare client charts for audits and accreditation reviews
  • Support administrative tasks, including answering phones, managing purchase orders, and processing mail

Qualifications

  • Education/experience requirements:
    • Bachelor’s degree OR
    • Associate’s degree and 1 year of applicable work experience OR
    • High school diploma and 2 years of applicable work experience
    • Applicable work experience includes any administrative position (paid or unpaid) requiring frequent data entry, ability to prioritize multiple projects within strict deadlines, and coordination with multiple departments
  • Ability to compile and track documents according to strict guidelines and regulations
  • Excellent organizational, problem solving, and time management skills
  • Demonstrated proficiency in Microsoft Word, Outlook, and Excel
  • At least 21 years of age
  • TB test clearance, fingerprinting clearance, and any other state/federal licensing or certification requirements
  • Valid driver's license, clean driving record, and insurability through Seneca Family of Agencies’ insurance policy
  • Proof of COVID-19 vaccination

Schedule

  • School-based schedule:
    • Monday to Friday: 8 AM- 4 PM (ability to work occasional flexible schedule when the program needs vary)
    • 100% fully working at a Seneca location
  • 5 weeks of paid time off, 11 paid holidays, and 14 paid school break days

Benefits

  • Starting at $27.58 - $30.08 per hour
    • Actual salary dependent on creditable experience above the minimum qualifications
    • Salary increases each year
    • Additional compensation provided upon passing a bilingual language proficiency exam
